We create a place for every kid on the playground to feel included, be active, and build valuable social and emotional skills. We partner with schools, districts, and after-school programs to provide a service or mix of services including on-site coaches, professional training for school staff who support recess, and consultative partnerships. 

Here’s where you come in:  In the role of Administrative Assistant, you will assist with meeting logistics, scheduling and general administrative support to the Executive Team and the Director of Organizational Engagement. Your attention to detail, customer service attitude and keen organization skills will be essential to us supporting our fast-paced organization. This is a great opportunity to work at a national nonprofit where you’ll get to wear many hats, work cross-functionally, and play an integral role supporting the Playworks Executive and Orgwide leadership teams.

The Administrative Assistant is a full-time, hourly position reporting to the Director of Organizational Engagement and will be based in our Oakland, CA office.


Meetings and Scheduling:

  • Provide administrative support for meetings of the executive team, organization-wide leadership team and National Board of Directors
  • Schedule other key meetings at the direction of the DOE
  • Coordinate the participation of presenters at these key meetings and related documents
  • Take notes and share follow up information arising from the meetings 
  • Provide administrative support for board of directors meetings
  • Scheduling assistance for executive team
  • Maintain confidentiality of sensitive information

Administrative Assistance:

  • Expense report support for the CEO
  • Travel arrangements for the executive team
  • Coordinate documents to be signed and sent by executive team or HQ department leaders
  • Send materials or correspondence to board members, stakeholders on behalf of executive team or HQ department leaders
  • Order supplies, meals for meetings and other aspects of the organization as needed
  • Support HQ office administrative needs. Supplies orders, voicemail and US Mail triage, visitor and meeting arrangements.


  • 2-3 years of administrative experience 
  • Strong computer literacy with experience in G Suite and comfort with online vendor portals.  (Salesforce, Concur and /or UltiPro/HR systems experience a plus) 
  • Exceptional attention to details and accuracy with the ability to multitask and be self-directed
  • Ability to thrive working both independently and within team settings
  • Superior time management skills with ability to set priorities in situations of conflicting demands and requests
  • Excellent interpersonal, written and verbal communication skills including versatility, flexibility and a willingness to work within constantly changing priorities with enthusiasm
  • Comfort with a playfully professional workplace culture
