We partner with schools, districts, and after-school programs to provide a service or mix of services including on-site coaches, professional training for school staff who support recess, and consultative partnerships.

About the Position: 

A versatile role that assists with the oversight and coordination of Playworks' administrative and capacity building functions. This position is a key resource for the city to advance Playworks' goals and work with staff and volunteers to create a sustainable and well-organized community-based organization. Also responsible for administrative functions of local, state and federal government grant program management and compliance, particularly AmeriCorps. This is a non-exempt position reporting to the Program Director.

Responsibilities include but are not limited to: 

Administrative Duties:

  • Support central office efforts by overseeing school and agency invoice distribution and collections
  • General office management (answering phones, supplies inventory, office upkeep)
  • Materials assembly, ordering, distribution and invoice/packing slip reconciliation
  • Maintenance of city database (funders, donations, staff and member information)
  • Serve as Solutions Team liaison between local office and national team
  • Assist with the coach recruiting process (posting open coach positions on various online/print sources, coordinate interviews and manage recruiting database)
  • Facilitate the hiring process for all staff ensuring all necessary paperwork is completed
  • Facilitate background check procedures for all new hires including FBI, State and NSOPR
  • Ensure current TB test and CPR/First Aid certification is on file for all AC/PC
  • Ensure I-9 is on file for PCs
  • Assist PC/AC with benefit sign up via ADP
  • Maintain personnel files via Recombo
  • Receipt tracking and maintenance for charge cards and checking accounts
  • Preparing expense reports on behalf of EDs for ED approval and submission on a monthly or more frequent basis as delegated
  • Handle petty cash box and submit petty cash reporting on a monthly basis if assigned
  • Deposit fundraising receipts via Remote Deposit Capture and upload League fee reports to school opportunities
  • Coordinate purchases of Playwear via the Locker; Playground Equipment from S&S; Business cards, office supplies from Staples, and process shipments via UPS

AmeriCorps program support (when applicable):

  • Distribute, collect and maintain personnel documentation to ensure AmeriCorps member eligibility
  • Update personnel/program information on government databases including eGrants
  • Conduct final review of member’s electronic time sheets and monitor member hours progress against benchmarks
  • Work in collaboration with the program staff to calendar, plan, monitor and input program data
  • Support/facilitate AmeriCorps events and trainings, including but not limited to preservice, motivation workshops, AC graduation, AC work activities, and timesheet training.
  • Maintain calendar of grant proposal and reporting deadlines
  • Manage AmeriCorps service projects including but not limited to:
    • Complete all onboarding requirements for volunteers
    • Provide/organize orientation for all volunteers
    • Support member service projects
    • Provide members with appropriate information regarding AmeriCorps benefits including child care, loan deferment, Education Award, and Public Assistance.
    • Support team with planning and implementing community building and reflection opportunities for members.
    • Plan appropriate service project opportunities
    • Contact agencies
    • Organize logistics and attend weekend and evening service dates as needed
  • Support AmeriCorps members with volunteer recruitment within their school community

Capacity Building (percentage of time dependent on AmeriCorps members):

  • Support Executive Director and the city development team with fundraising including board meeting coordination and research of potential grant and funding opportunities
  • Provide logistical support and assist in planning and coordination of special events and staff meetings
  • Support updating communication on website and social media outlets
  • Responsible for managing volunteer recruitment, orientation, training and recognition
  • Self-starter with strong organizational skills
  • Excellent attention to details and accuracy
  • Strong computer skills, ability to use existing technology to achieve desired results and proficiency in MS Word and Excel
  • Ability to handle ambiguity, juggle many tasks at once and quickly shift from one situation or task to another
  • Ability to lift 30 lbs
  • Excellent interpersonal, written and verbal communication skills

  • This position may require travel to various locations:
    • If you use a vehicle, you must provide a current MVR, proof of liability and property damage insurance with a minimum of (100,000; 300,000) on vehicle used in addition to a valid drivers license
Compensation and Benefits: 
  • Hourly wage dependent on geographic location
